Application links

To automate (auto provisioning) user account management in the network, it is important to support a wide range of systems and applications. Tools4ever has a large set of standard links to manage user accounts (authentication) and rights (authorisations) in systems and applications. Besides the standard links, within IAM there is the possibility of generic links based on CSV, ODBC, text files, SOAP/XML, web services, etc. Read below which links Tools4ever has out-of-the-box.

HR systems

IAM offers the possibility to link any HR system to the user accounts in the network. Thanks to this link, any change in the HR system is detected by IAM and automatically implemented in the network according to procedures. Examples of changes and procedures include:

  • New employee:
    A new user account with an email mailbox, home directory and group memberships is created.
  • Employee promotion:
    The user account is granted additional network permissions due to the promotion, and existing permissions are adjusted if necessary.
  • Employee departure:
    The user account is immediately disabled and moved to a different Organisational Unit (OU). Later, the home directory and email data are transferred to secondary storage.
  • Employee marriage/divorce:
    The display name and email address are updated.
  • Employee relocates to another location:
    Home directory data is moved to the nearest home directory server.

Healthcare systems

IAM can promptly, accurately and comprehensively provide all conceivable changes in user account and access management to various healthcare systems. For a new employee, access to (parts of) the healthcare system is automatically granted based on their role, and upon departure, measures are in place to prevent continued access.

User account and access management can thus be conducted much more efficiently, allowing a healthcare institution to easily comply with regulations and standards (such as NEN 7510 and HKZ).

Education systems

School Information Systems (SIS) are meticulously maintained by school administrators and contain vital school-related data. This makes them ideal as source systems for user account management. IAM can automatically detect any changes in the SIS and execute the corresponding actions. For instance, creating an AD account and granting access or modifying class shares and distribution lists.

Email applications

By integrating with (hosted) email applications, including Google Mail and Office 365, IAM can handle email-related management tasks. For instance, IAM ensures that email mailboxes are immediately available for new employees or automatically updates the email account with name changes (e.g. changes due to marriage). It’s also possible to create functional email mailboxes and manage their permissions.

Helpdesk system

Efficiently handling facility requests requires that all involved employees (and user accounts) are registered in the helpdesk system. Additionally, the helpdesk system generates and closes tickets for user account changes.

Managing employees in the helpdesk system and handling open tickets can be a time-consuming task, which can be automated with IAM. Some possibilities include:

  • Automatically creating incidents/change requests;
  • Generating tickets for an application administrator;

Security & access systems

It is of crucial importance for organisations that the physical access system aligns seamlessly with the HR environment, ensuring that new employees swiftly obtain the appropriate access to the premises or specific areas thereof, and that departing employees promptly lose their access. Facility Management systemen

Many organisations have a central reporting and/or service hub in the form of a Facility Management (FM) system. CMS / DMS systems

IAM has seamless links with various CMS and DMS systems. Through this integration, it becomes possible to automatically create and manage login credentials (username/password) for employees. As soon as an employee joins the organisation, IAM creates an account within the CMS/DMS with all attributes (name, location, phone number, etc.) automatically populated. When an employee departs from the organisation, the account is decommissioned according to predefined rules (disabling, relocating, etc.).

Operating systems

IAM allows for the creation of user accounts in strict accordance with the rules of the operating system. Databases

The IAM software provides out-of-the-box functionality for creating and managing accounts in commonly used databases, such as Oracle. It communicates with the database via a configurable (ODBC) connection to facilitate actions such as account creation, modification or deletion. These actions can be automated as part of synchronisation processes or accessed through web-based forms for manual tasks, such as those handled by a helpdesk.

Directories

IAM offers a complete interface/integration with various directories. Through the interface, it is possible to automate any action within the directory. Examples of actions include password resets, adding/removing group memberships, changing (extended) attributes, creating, deleting and modifying user accounts, etc. The following automated integrations with a directory are possible: bulk import to the directory, delegated management to the directory, auto provisioning and self-service to the directory. As long as the directory technically supports the operation, it can be executed via IAM.
