IAM

Connect systems, people and processes with our Identity Governance & Administration solution

Identity & Access Manager (IAM)

Identity & Access Manager (IAM) is a comprehensive Identity, Governance & Administration solution. IAM ensures timely, standardised and straightforward management of user accounts and access rights within the network.

Versatile and powerful solution

The automation of administrative tasks translates into time savings, reduced human errors and swift processing. End-users gain more autonomy and streamlined access to applications and systems, thus alleviating the burden on the helpdesk significantly.

... equipped with reporting features

A range of reporting options provides insights into who has access to what, when and where. All the necessary information for audits is readily available, facilitating compliance with regulations such as HIPAA, SOX, BIO, ISO 2700x, NEN 7510, HKZ and more.

... at a competitive price

Tools4ever develops all its software in the Netherlands and maintains a team of highly experienced in-house implementation consultants. This allows for efficient IAM deployments in a matter of weeks, all at a notably lower price than usual.

User Provisioning establishes a connection between the HR system and user accounts within the network, such as Active Directory. This automates the full process of onboarding, ongoing management and offboarding, ensuring that changes are seamlessly implemented, without any errors.

New employees are instantly productive

By linking the HR system to user accounts in the network, changes are implemented immediately and error-free. On an employee’s first day, their account is created, allowing them to start work without delay.

Security/Auditing

Upon departure, user accounts are promptly deactivated. This prevents former employees from retaining unnecessary rights and licenses, ensuring they cannot access sensitive company information.

Automating user account management

User account information (personal details, department, role, etc.) can be automatically synchronised between the HR system (such as SAP, AFAS, Visma | Raet, PeopleSoft) and the network. Any changes in the HR system are detected and automatically applied within the network

Enhanced productivity and efficiency

Data is managed centrally within the organisation, rather than by various departments. Changes are reflected instantly and error-free in the network. IT staff spend significantly less time on routine tasks, allowing for more room for IT innovation.

Through Service Automation, employees and managers can request, monitor and approve facilities via a web interface, without the need for IT involvement. The approval process is structured within a workflow. Managers can approve requests, and our IAM software will seamlessly implement these in the network.

Next step in Self-Service

Request and change orders are processed 100% automatically, without the need for IT intervention. A structured workflow ensures that this process is directly implemented within the organisation’s network.

Integrating existing portals

As Self-Service portals continue to proliferate, offering a unified portal to end users becomes increasingly important. IAM can be seamlessly integrated with other portals, creating a cohesive user experience, so it feels like the user is operating within the same system.

Full overview for managers

Service Automation provides managers with a clear overview of who has access to which resources and when licenses expire. Every change is meticulously recorded, simplifying organisations’ readiness for audits.

Reduced workload for the helpdesk

Changes are consistently and systematically processed and documented, leading to a significant reduction in workload for the helpdesk. This creates more opportunities for IT innovation and a substantial improvement in ICT service delivery.

The Audit Log records all actions carried out by IAM, including any modifications made outside the standard IAM processes, ensuring traceability. Internal and external auditors can always access this Audit Log to determine who performed specific actions and when, a feature often unavailable in most directories.

Detailed reports

IAM enables the generation of comprehensive reporting data, both current and historical. Who has access to what, when and where? With just one click, you can generate a report with all the relevant details.

Valuable insights

Effective log analysis helpts in promptly identifying the root cause of issues – and in finding solutions. If a specific feature remains underutilised, it may prompt a review of license requirements or even lead to the discontinuation of certain applications.

Effortless compliance with audits

It is easy to trace the actions of each individual, such as activating/deactivating accounts, assigning additional permission groups or resetting passwords in the Active Directory, facilitating compliance with audits.

Increased employee productivity

Thanks to the smart software with extensive reporting capabilities, IT personnel no longer need to perform manual tasks, resulting in significantly shorter wait times and increased productivity in the workplace.

Access Governance, also known as Role-Based Access Control (RBAC), supports the management of employee access rights to applications and data. IAM Access Governance replaces copy-user, spreadsheets, template users and other forms of manual, error-prone access management.

Maintaining compliance

By systematically managing and monitoring access rights, it becomes possible to demonstrate that authorisation management is carried out in a controlled manner that aligns with standards such as NEN, ISO, SOX, BIG, GDPR. Additionally, employees gain prompt and straightforward access to the right authorisations.

Consistent storage approach

Employee access rights are issued, modified and revoked through a uniform manageable model. Access Governance provides various methods to build, control and maintain the model.

Access rights management

Access Governance offers the capability to construct a rights model. Roles and permissions within AG can be assigned both automatically and through a self-service portal, providing organisations with significant flexibility in effectively using this feature.

Secure and cost-effective

By structuring authorisation management, it ensures that employees have the correct access rights, indirectly leading to cost savings. There will be fewer incidents, and unnecessary licensing costs are avoided.

With Downstream Provisioning, it’s possible to establish an automatic link for managing user accounts in systems and applications other than Active Directory, Exchange and NTFS. This can include an HR system containing employee data, an education system with student information, a scheduling system with data on flexible workers or a combination of multiple systems.

Extensive set of integrations

IAM offers more than 200 standard integrations. These integrations have been developed by us and are maintained as part of the maintenance contract. As you add systems, they can be gradually linked to IAM.

Consistent user account management

The process for managing user accounts is consistent and uniform across all systems and applications within the network. This reduces the workload for application administrators when processing user updates.

Time and cost savings

Application administrators can be promptly notified of personnel changes, ensuring that new employees receive the correct network authorisations in a timely manner and that departing employees are immediately removed.

Bidirectional link

In addition to retrieving information from the HR system, there may also be cases where information is regularly written into the HR system, such as the email address generated by IAM for the employee or a phone number.
